Why it works: Keeping everything in your apps compensates for working memory limits — it stays visible instead of trapped in your head. And calendar events address time blindness — you act when prompted, not when you happen to remember.

Session

Your Trackable Session is a recurring weekly time you set aside — your commitment to keep your four apps up to date. It's not for doing your tasks; it's the time to catch up on what happened and set up what's next, so nothing slips between sessions.

And because it's a trackable, you manage it like any other.

Every session has the same two parts, and you work through them one thing at a time:

Review — walk through every event on your calendar since your last session and mark each one: done, cancelled, or reschedule what's still pending. A dimmed calendar event doesn't tell you whether it actually happened — this is where you close that loop, so nothing silently disappears.

What's next — then you set up what's coming: add new trackables worth starting, and capture the details that changed — a date for your calendar, a number for your contacts, a detail for your password manager, an alarm to set. On your own, you think these up yourself; with the Portal, they're recommended for you (more on that below).

Over time sessions get shorter as you build momentum and fewer things pile up.

Accountability

For some, the recurring Trackable Session is enough to keep up with everything. But if things still keep slipping, body doubling is there to keep you accountable.

Where recommendations come from

You don't have to think of what's next — the portal recommends trackables based on:

  • Life changes — new baby, new house, new job? New trackables appear.
  • Your inventory — roof is 20 years old? Plan the replacement. Car hit 100k miles? Timing belt check. Child turning 15? Learner's permit.
  • Inventory changes — bought a new car, sold the old one? Recommendations adjust — new ones added, outdated ones cancelled.
  • Where you live — Massachusetts requires car inspections yearly, Rhode Island every two years, Florida none at all. The catalog adapts.
  • Personal time — hobbies, exercise, family — those are trackables too.
  • Catalog updates — new regulations like Real ID get recommended to you.

What the portal tracks vs. your password manager

The portal keeps only the non-sensitive details it needs to make recommendations. The full record — including anything sensitive — stays in your own password manager.

Jim is a project manager with three kids and an elderly mother to care for — overwhelmed, and when you're overwhelmed, you procrastinate. Renewals pile up, appointments slip. He's tried todo apps, reminders, even a paper planner. Nothing stuck. Here are the same three pillars, working together on one trackable: his passport.

Apps
Jim already has all four apps on his phone — a calendar, contacts, a password manager, and alarms. He's just never kept them current. He doesn't need new apps; he needs to keep the ones he has up to date.
Session

Jim's already scheduled his Trackable Session for Tuesdays at 7pm — it's on his calendar with an alarm. At a session, he logs in and works through a stack of cards. One asks whether he has a passport he wants to track. He says yes and enters the expiration date. The Portal adds a Passport to his inventory and walks him through the rest — passport number, nationality, place of issue — saved to his password manager, with the expiration date on both his password manager and his calendar.

Now Jim won't forget his passport number or when it expires. And because the Portal knows the expiration date, it knows when to act: nine months before it expires — even if that's eight years away — the renewal shows up in his session as "Start renewal." When Jim marks that Done in his Review, the Portal schedules the rest of the steps onto his calendar — and lets him skip any that don't apply. That's one trackable, and all its steps:

  1. Start renewal — nine months before it expires
  2. Book photo appointment — if mailing in
  3. Passport photo appointment — once he books it
  4. Get your current passport out — if mailing in
  5. Submit the renewal application — online or by mail
  6. Wait for passport arrival — about six weeks

Renewing online, Jim would just skip the photo and the mailing — the Portal shows the whole list and skips what doesn't apply.

When the new passport arrives, his next session updates his password manager with the new number and schedules the next renewal. Each week, Jim just reviews what happened and sets up what's next. The passport is off his mind.

Accountability
